TRANsSCAN

CAASS TRANsSCAN tracks student ridership on and off the school bus. TRANsSCAN features the ability for students to scan/ swipe as they get on the bus at their stop in the morning, scan/swipe when they arrive at school and then when school end for the day they scan/ swipe as they get on the bus at school and then scan/ swipe when they get off the bus at their stop

TRANsSCAN is made up of the on-the-bus software module (Android Application), the CAASS Admin area for managing the TRANsSCAN module and its operation including restrictions and tracking features. TRANsSCAN is made to be very portable and easy to use for the bus crew. Data such as Bus numbers, Routes, Staff, bus stops within a route, special events, assigned seats and student assignments can all be imported from the BCPS Transportation software or it can be manually entered into CAASS if it doesn't exist.

Features of the TRANsSCAN Andriod Application

  • Native Android Application
  • Works with both RFID MiFare cards via NFC and Barcoded cards with external reader
  • Connects to the CAASS hosted environment via Cellular service
  • Utilizes the tablet's GPS functionality to track location

TRANsSCAN Application Functionality for the Crew

  • The Bus Crew will login with Active Directory account or scan/ swipe his/her ID card
  • The Bus Crew will select the Route they will be running
  • After the Bus Crew selects the Route TRANsSCAN will display the Bus stops in order

TRANsSCAN Application Functionality for the Students

  • Students will scan/ swipe their ID card when entering the bus

TRANsSCAN Application Process and GUI Interface when a Student Scans/Swipes their ID Card

  • The system will determine if that student belongs on this bus
  • The system will verify they are permitted to ride the bus by performing a lookup and making sure they are not suspended from the bus
  • The system will verify that this is the student's authorized stop
  • The system will capture and record the date/timestamp
  • The system will capture and record the GPS location

TRANsSCAN Application Process and GUI Interface if a Student Scans/Swipes doesn't have their ID Card

  • A bus crewmember will lookup the student and the system will look first in a group of students, which are assigned to that particular bus and route. This group of student's is stored locally on the device for quicker lookup. If the student doesn't belong to the bus and route then the system will look through its cellular connection back to the hosted CAASS system.
  • The student lookup and search can be done by last name, first name and or just a few letters or the crewmember will just choose the student from his/her bus roster.
  • The system will determine if that student belongs on this bus
  • The system will verify they are permitted to ride the bus by performing a lookup and making sure they are not suspended from the bus
  • The system will verify that this is the student's authorized stop
  • The system will capture and record the date/timestamp
  • The system will capture and record the GPS location

TRANsSCAN is also able to process Guest Riders. Students may have another student (friend) ride the bus home with them. By default the crew is not able to permit Guests unless they are setup through the TRANsSCAN Administration. This would provide the crew with another student on their bus roster, labeled as Guest of this Student and they would be displayed as any other rider would and they would be required to scan/ swipe on/off the bus.

TRANsSCAN Administration

Administration and configuration of the TRANsSCAN application occurs in CAASS Admin within the TRANsSCAN module. Proper security requirements apply to users including Roles, User Groups and Containers. TRANsSCAN Configuration needs be managed at a District Level to setup policy and system preferences, but both the district and individual schools can manage administration and coordination of ridership. The Transportation department at BCPS should manage the initial and daily Coordination of staff (Crew) for busses, but individual student ridership and special events can be a shared duty. For example Guest Riders and Special Events are typically school-based occurrences when it pertains to the students involved although Special Events transportation requirements are typically centrally (District) coordinated.

TRANsSCAN Admin Features Include:

  • Staff setup and crew assignments
  • Crew assigned to Buses and Routes
  • Type of Bus is applied to each Bus in the fleet.
  • Routes are tied to Buses
  • Route stops are tied (assigned) to Routes
  • Students are assigned to a Bus
  • Students are assigned to a Route and a Route Stop
  • Students with Special Needs requirements can be selected so that the bus assigned to them will be able to meet those needs
  • Assignment of substitute Crew
  • Setting up Parent Notification(s)
  • View student TRANsSCAN records
  • Report on TRANsSCAN data
